This privacy statement applies to the activation programme delivered by The Footprint Challenge. The Footprint Challenge, located at Van der Hoopstraat 104-2 in Amsterdam The Netherlands, is responsible for the processing of personal data as shown in this privacy statement.

PERSONAL DATA PROCESSED BY THE FOOTPRINT CHALLENGE

For the purpose of participating in the Sony Europe Sustainability Challenge the following (personal) data is collected and processed:

  • First and last name
  • Work e-mail address
  • Country (location Sony Europe office)

Information about activities on the website of the Footprint tool;

  • Self-reported data to determine the personal footprint and the reduction
  • Status updates of actions
  • Messages in the online community


DOES THE FOOTPRINT CHALLENGE ALSO PROCESS SPECIAL PERSONAL DATA?

Special personal data are sensitive data, for example about health or a criminal record, ethnic data or data concerning race. The Footprint Challenge does not intentionally process special categories of personal data. Participants are advised not to share sensitive personal information (such as health-related data) in the online community.

WHY WE NEED DATA

To be able to execute the Sony Europe Sustainability Challenge we need (personal) data for the following purposes:

  • Create an account for the online platform in which participants track progress
  • Send a confirmation email to participants
  • Divide participants into teams
  • To send newsletters and push notifications to participants of the Sony Europe Sustainability Challenge
  • To email participants on the progress of the Sony Europe Sustainability Challenge
  • To assess the ecological footprint at the start and the reduction during the Sony Europe Sustainability Challenge


NEWSLETTERS

During the Sony Europe Sustainability Challenge newsletters are sent to the participants once or twice a week. After completion of the Sony Europe Sustainability Challenge, participants will no longer receive newsletters unless they have explicitly opted in to receive additional communications.

WHAT RULES APPLY TO THE PROCESSING OF PERSONAL DATA?

In the processing of personal data, The Footprint Challenge is bound by the applicable laws and regulations and The Footprint Challenge keeps track of any developments. In that context, The Footprint Challenge reserves the right to make changes to this privacy statement in order to align the text with the latest state of affairs, as stated at the bottom of this privacy statement.

HOW LONG WE KEEP DATA

Personal data that are provided for participation in the Sony Europe Sustainability Challenge are removed two months after the Sony Europe Sustainability Challenge has finished. All traceable personal data will be deleted; first and last names, email addresses, images and messages in the online platform. The actions taken by participants will be kept in an anonymous form for analytical purposes.

SHARING WITH OTHERS / PROVIDING DATA TO THIRD PARTIES

The Footprint Challenge will not sell information to third parties and will only provide this information if this is necessary for the execution of the Sony Europe Sustainability Challenge or to comply with a legal obligation. With companies that process data ordered by us, we conclude a data processing agreement (DPA) to ensure the same level of security and confidentiality of your data.

The Footprint Challenge also uses services such as Brevo and Microsoft Teams, for which data processing agreements (DPAs) are in place.

USE OF COOKIES

Cookies are used on our online platform and Footprint Challenge App. We use cookies to remember the session and username and for statistical purposes. To protect users’ right of privacy, all information collected through cookies will be general and anonymous. We do not use external plugins, only session variables for account and Google Analytics cookies (with a data retention of 26 months). A participant has the option to set the browser so that cookies are refused. As a result, it is possible that the online platform / Footprint Challenge App no longer fully or partially functions.

VIEW, CUSTOMIZE OR REMOVE DATA

Participants of the Sony Europe Sustainability Challenge always have the option to view, correct or delete the personal data known to us about them. This can be done via the Footprint Tool or via a specified request to info@footprintchallenge.nl.

SECURITY

The Footprint Challenge attaches great value to the security and protection of your personal data. The Footprint Challenge has taken appropriate technical and organizational measures to protect your personal data and protect it against loss, alteration, abuse or against any (other) form of unlawful processing. Any person who has access to personal data and / or has access to personal data at The Footprint Challenge is obliged to maintain the confidentiality of that data, unless otherwise provided by law or regulation. In case The Footprint Challenge makes use of the services of third parties, The Footprint Challenge will make agreements regarding the necessary security measures in the context of the protection of personal data. If you have the impression that your data is not properly secured or there are indications of abuse, please contact us.

PRIVACY RIGHTS PARTICIPANT

When a participant makes a request for inspection, correction, opposition or removal of their personal data, The Footprint Challenge will respond to such requests within one month, in accordance with applicable privacy legislation. A participant can submit this request via info@footprintchallenge.nl.

Participants also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) if they believe their personal data is not processed in accordance with applicable privacy laws.
